Responsibilities Manage daily administrative operations to support the efficiency of the office and staff. Coordinate communication between clients, internal teams, and external partners. Maintain and organize confidential documentation and records in compliance with company policies. Assist with scheduling appointments, meetings, and follow-ups to ensure timely responses. Prepare and distribute reports, correspondence, and other documents as required. Support compliance efforts by ensuring adherence to legal, regulatory, and company standards in administrative processes. Handle customer inquiries with professionalism and provide information or direct them to the appropriate department. Monitor inventory of office supplies and coordinate procurement as needed. Facilitate onboarding and training coordination for new administrative staff. Proven experience in administrative or office coordination roles, preferably within the insurance or legal services industry. Strong organizational skills with the ability to manage multiple tasks efficiently and accurately. Excellent verbal and written communication skills to effectively interact with diverse stakeholders. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly. Demonstrated ability to handle sensitive and confidential information with discretion. Detail-oriented mindset with a commitment to compliance and adherence to company policies. Ability to work independently as well as collaboratively within a fast-paced team environment. Flexibility to adapt to changing priorities and work schedules, including occasional extended hours if necessary.
