Scope of Position:

The Receptionist is responsible for answering and accurately transferring all incoming telephone calls from a multi-line switchboard and professionally greeting all Company visitors. He or she also assists Human Resource staff with administrative tasks as requested.

Essential Duties and Responsibilities:

  • Answer switchboard calls in a courteous and timely manner
  • Greet visitors politely and professionally
  • Update and maintain Company phone directories and employee emergency contact information
  • Send, receive, and forward confidential faxes
  • Log all incoming UPS and FedEx packages and letters; call recipients of incoming packages as needed
  • Sort and stamp incoming mail and invoices
  • Distribute employment applications and assist applicants with completion
  • Review received employment applications for completeness
  • Coordinate Company-wide Dress Down Days and other charitable activities
  • Assist Human Resources staff as needed, including assisting with employee events and mailroom activities
  • Perform other duties and tasks as requested

Position Requirements:

  • High School Diploma or equivalent
  • A minimum of 1 year of experience in an office environment required; a minimum of 3 years of experience preferred
  • Experience operating a multi-line switchboard preferred
  • Experience with Microsoft Office including Excel, Outlook, and Word
  • Demonstrated verbal and written communication skills
  • Ability to interact respectfully and tactfully with internal and external customers
  • Detail-oriented, organized, and able to multi-task
